OneDrive for Business: Cloud Storage & File Sync

OneDrive for Business gives ALCO USA employees secure cloud storage with automatic file sync. This guide covers setup, sync, sharing, backup, and troubleshooting.

Getting Started

  1. Sign in to your ALCO USA account
  2. Access OneDrive from the Microsoft 365 apps menu
  3. Set up sync on your computer (Windows 10/11 or macOS)
  4. Configure notification settings
  5. Choose folders to sync locally

File Sync & Storage

  • Automatic Sync: files sync between the cloud and your computer
  • Offline Access: access synced files without an internet connection
  • Conflict Resolution: OneDrive creates versions when files are edited in multiple locations
  • Storage Space: 1TB included with your ALCO USA Microsoft 365 license
  • Version History: keep up to 93 days of file versions

Sharing & Collaboration

  1. Right-click a file, then Share
  2. Choose a sharing method (link or specific people)
  3. Set permissions (View, Edit, or Owner)
  4. Notify recipients via email
  5. Track shared document activity

Backup & Recovery

  • Automatic Cloud Backup: all files are backed up to Microsoft servers
  • Recycle Bin: recover deleted files within 93 days
  • Version Recovery: restore previous versions of documents
  • OneDrive Protection: ransomware detection and recovery

Troubleshooting

Files Not Syncing

  • Check your internet connection
  • Verify OneDrive is running (look for the icon in the taskbar)
  • Pause and resume sync (right-click, then Pause syncing)
  • Restart the OneDrive client

Storage Full

  • Check your storage quota in Settings
  • Delete unnecessary files or purchase additional storage
  • Check for large video or image files
  • Archive old projects

Sync Errors

  • Rename files with unsupported characters
  • Check file path length (maximum 260 characters)
  • Update Windows or macOS to the latest version
  • Reinstall the OneDrive client if errors persist

  3. Use consistent file naming
