Understanding ALCO USA’s Unified Billing System

ALCO USA Inc. uses a unified billing approach to simplify your invoicing experience. All services—managed IT support, security monitoring, backup and recovery, software licensing, and hardware maintenance—are consolidated into a single monthly bill. This makes budgeting easier and eliminates the confusion of tracking multiple vendor invoices.

Billing Frequency & Invoice Delivery

All ALCO USA customers are billed monthly, typically on the same date each month that your service agreement began. Invoices are delivered electronically via email to your designated billing contact and are also available within your online customer portal.

What’s Included in Your Unified Bill

Your monthly invoice will list:

  • Managed IT Services: Core remote monitoring, patch management, and help desk support
    • Security & Compliance Services: Antivirus/antimalware, email security, and vulnerability assessments
    • Backup & Disaster Recovery: Cloud backup storage, recovery point objectives (RPOs), and recovery time objectives (RTOs)
    • Software Licensing: Microsoft 365, Adobe, and other SaaS products managed through ALCO
    • Hardware Maintenance & Replacement: End-of-life equipment swaps and repair labor
    • Professional Services: On-site consulting, architecture reviews, and custom implementations

Invoice Line Items Explained

Each service line shows:

  • Description of the service
    • Unit count (number of users, devices, or licenses)
    • Monthly rate per unit
    • Total monthly cost
    • Any prorations for mid-month additions or removals

Billing Adjustments

If your organization adds new users, devices, or services mid-month, we’ll prorate the costs and reflect them on the following month’s invoice. Similarly, if devices are removed or licenses terminated, credits will be applied accordingly.

Payment Methods & Terms

ALCO USA accepts the following payment methods:

  • ACH/Bank Transfer (preferred - no processing fees)
    • Credit Card (Visa, Mastercard, American Express - 2.5% processing fee applies)
    • Check (mail-in payments)

Standard payment terms are NET 30 from invoice date. Late payments may incur a 1.5% monthly finance charge and could affect service continuity.

Disputing Charges

If you notice an error or discrepancy on your invoice, contact our billing department immediately. You have 30 days from invoice date to dispute charges. We’ll investigate promptly and issue a credit or adjustment if warranted.

Service Credits & Uptime Guarantees

ALCO USA guarantees 99.9% uptime for our monitoring infrastructure. If we fail to meet this SLA, you’re eligible for service credits equal to 5% of your monthly service fee per full month of non-compliance (up to 30% annual maximum).

Contract Terms & Price Protection

Your pricing is locked for the duration of your service agreement. Annual contracts receive a 10% discount compared to month-to-month pricing. Multi-year commitments qualify for additional discounts—ask your account manager for details.
